OUR PROCESS
From Concept to Completion

At THEOS KYRIOS, every garment begins with a clear understanding of its purpose.
Whether developing uniforms for educational institutions, corporate organisations, hospitality establishments or special commissions, we approach each project with careful consideration for design, functionality, comfort and craftsmanship.
Our process is structured to ensure clarity, consistency and quality throughout every stage, from the initial consultation to the completion of your garments.
As each project is unique, requirements, development timelines and production arrangements are assessed individually.
01 — Initial Consultation & Project Assessment
Every project begins with a conversation.
We take time to understand your organisation's requirements, intended garment use, design preferences, estimated quantities, budget and desired delivery schedule.
Clients may approach us with an existing design, reference images or an entirely new concept requiring development.
During this stage, we assess the project's feasibility and discuss the most suitable approach.
Initial enquiries and preliminary consultations are complimentary. Detailed design proposals, technical development, sketches and fabric sourcing are not included at this stage and may be subject to separate fees.
02 — Design Development & Fabric Selection
Once the project scope has been established, we proceed with the agreed design and development requirements.
Depending on the project, this may include:
Original garment design and concept development
Refinement of existing designs or supplied references
Fabric and material recommendations
Colour coordination and garment detailing
Construction specifications and technical development
Consideration of functionality, comfort and professional presentation
Design development fees, where applicable, will be quoted according to the complexity and scope of work.
Payment for agreed design development services is required before work commences.
03 — Sampling & Refinement

Physical samples play an important role in evaluating garment construction, fit, appearance and functionality before bulk production.
Where sampling is required, we prepare samples based on the agreed design specifications.
Clients will have the opportunity to review the samples and provide feedback before final approval.
Sampling is a chargeable service, with full payment required before sample development begins.
The sampling quotation will specify the scope of work and any included revisions. Additional samples, alterations or design changes beyond the agreed scope will be quoted separately.
Sampling fees are separate from bulk production costs and are not automatically refundable or deductible from subsequent production orders.
04 — Final Approval & Production Confirmation
Once the design and samples have been approved, we proceed with the final production arrangements.
This includes confirmation of:
Approved garment designs and specifications
Fabric, colours and construction details
Size breakdowns and order quantities
Final production pricing
Payment arrangements
Estimated manufacturing and delivery schedules
A 50% production deposit is generally required upon confirmation, subject to the nature, scale and upfront costs of the project. Certain commissions may require a higher deposit or alternative payment milestones, as specified in the quotation.
Fabric procurement and production scheduling will proceed only after the required approvals, information and payments have been received.
Changes requested after final approval may affect pricing and delivery timelines.
05 — Manufacturing & Quality Control
With the necessary approvals and arrangements in place, the project moves into production.
Manufacturing involves careful coordination of materials, garment construction, production scheduling and quality control.
Depending on the project, this may include pattern preparation, cutting, sewing, finishing and inspection.
We work towards maintaining consistency across the approved designs, specifications and quantities.
Production timelines depend on the complexity of the garments, order volume, material availability and manufacturing capacity.
06 — Completion, Delivery & Fulfilment
Upon completion, garments undergo the applicable finishing and quality checks before delivery or collection arrangements are made.
The outstanding production balance is payable before dispatch or collection, unless alternative terms have been agreed in writing.
For eligible uniform programmes, THEOS KYRIOS may also provide ongoing online ordering, stock management and individual order fulfilment services, subject to separate arrangements.
Our aim is to provide a coordinated service that extends beyond garment production where required.
PLANNING YOUR PROJECT
Understanding Lead Times
Indicative Project Timelines
As a general planning guide, new uniform development projects typically require approximately 12–16 weeks from initial consultation to delivery, subject to project requirements and production availability.
The following provides an overview of the key manufacturing stages:
| Stage | Indicative Duration |
|---|---|
| Sample Development | 3–4 weeks |
| Bulk Manufacturing | Approximately 4 weeks |
| International Shipping & Logistics | Approximately 2 weeks |
Additional time should be allowed for initial consultation, design development, fabric selection, sample evaluation, revisions and final approvals.
Projects involving complex designs, specialised materials, multiple sampling rounds or larger production quantities may require longer lead times.
Repeat orders based on previously approved specifications may require less development time, subject to material availability and production scheduling.
Important: All timelines are indicative and do not constitute guaranteed delivery dates. Production schedules are confirmed only after the necessary specifications, approvals, quantities and payment arrangements have been finalised.
We encourage clients to engage THEOS KYRIOS early, particularly for school openings, corporate launches, scheduled events and other time-sensitive requirements.
Quality garment development requires thoughtful planning and careful coordination.
Unlike ready-made garments, bespoke uniform projects may involve several stages of design development, material sourcing, sampling, approval and manufacturing.
As each commission has different requirements, there is no universal production timeline applicable to every project.
Lead times are influenced by factors including:
Design complexity and construction requirements
Fabric and material availability
Sampling and revision requirements
Order quantities and size breakdowns
Client feedback and approval timelines
Manufacturing schedules and delivery arrangements
We strongly encourage clients to approach us well in advance of their intended delivery date, particularly for new uniform programmes, large-volume orders and projects associated with fixed events or launches.
Please note: Submitting an enquiry does not constitute a confirmed production booking. Production schedules are established only after the necessary specifications, approvals and commercial arrangements have been finalised.
Estimated timelines may be revised where project requirements change or circumstances beyond our reasonable control affect production.
PROJECT CONFIRMATION & PAYMENT
To ensure clarity and mutual commitment, THEOS KYRIOS follows a structured project confirmation and payment arrangement.
